PRIMARY PURPOSE:  The Business Systems Analyst - Process Automation makes the District's applications work for the people who depend on them: learning how a department operates, asking the right questions, and turning the answer into a configured, tested, well-documented workflow, form, or integration. The deep specialty is the District's Laserfiche electronic content management (ECM) platform and the business-process automation that runs on it: the forms, approvals, records, and workflows that move work between systems. This is also a generalist analyst who can step into any District system (student, HR, or finance), learn it quickly, and give users and owners a clear answer.

MAJOR RESPONSIBILITIES AND DUTIES:

Works independently under the general direction of the Director of Information Systems, exercising discretion and independent judgment on matters of significance without day-to-day technical oversight.

Laserfiche Application Administration

Outcome: the Laserfiche application stays healthy, secure, properly licensed, and reliable for every department that depends on it.

  1. Serve as the primary administrator of the Laserfiche application: repository configuration, security management, themes and templates, and in-application user, group, and role provisioning, including named-user/seat license assignment.
  2. Monitor Laserfiche license and seat utilization and capacity, and provide usage and capacity input to support license procurement and renewals.
  3. Coordinate and test Laserfiche version upgrades, patches, and releases with affected departments, documenting issues and validating application function afterward.

Business Process Automation & Solution Delivery

Outcome: manual, paper-bound processes become automated, tested, well-documented Laserfiche solutions.

  1. Lead the districtwide development and implementation of automated business processes, workflows, and forms via the Laserfiche application: designing and deploying Forms (field design, validation, conditional and dynamic logic, layout, and accessibility to WCAG 2.1 AA) and Workflows, both automated (routing, approvals, notifications, document generation, and data writes) and manual/human-task.
  2. Build advanced form behavior and custom Laserfiche workflow activities as needed, including light front-end scripting (JavaScript/CSS) and C#/.NET (SDK) development.
  3. Collaborate with departments (HR, Finance, Special Education, Student Services, Purchasing, Facilities, and others) to analyze existing manual workflows, gather and clarify requirements, and translate them into automated Laserfiche solutions.
  4. Produce and maintain requirements and design documentation: business and functional requirements, as-is/to-be process maps, and design and configuration specifications.
  5. Develop and execute test plans; perform end-to-end functional testing; coordinate user acceptance testing (UAT) with business owners; and run regression testing after platform or solution changes.
  6. Manage change and release for Laserfiche solutions: version forms, workflows, and integrations and promote them through development, test, and production under change control, with documented and reversible deployments.
  7. Maintain an intake and backlog of form and process requests; prioritize, scope, and communicate status to requesting departments and the Director.

Cross-Application Analysis, Integration & Reporting

Outcome: district systems exchange the right data cleanly, and users and leaders get accurate answers and reporting from across the application landscape.

  1. Serve as a generalist analyst across District applications (including student, HR, and finance systems) by rapidly learning unfamiliar systems, asking the right questions, and providing answers and solutions.
  2. Configure, maintain, and enhance other District applications as needed.
  3. Build, maintain, and monitor integrations between Laserfiche and the District's SIS/ERP and other systems using APIs, interoperability standards (REST), and ETL (SSIS), and TSDS/PEIMS submissions.
  4. Write SQL queries against District application databases and read their schemas, including how tables and fields map to the screens and functions users see.
  5. Develop reports using tools such as Cognos Analytics, SSRS, and Power BI.
  6. Analyze, interpret, design, and implement changes to existing systems caused by statutory changes or user needs; read and interpret State and Federal laws to recommend required changes.

Support, Security & Compliance

Outcome: issues get resolved, data stays protected and compliant, and supported systems keep running through critical incidents.

  1. Triage user-reported defects and requests; define requirements; log and manage vendor cases; and test and implement solutions.
  2. Handle student, staff, and District data in accordance with FERPA, the Texas Public Information Act, the Texas Student Privacy Act (Texas Education Code §32.151), and District cybersecurity policy (SB 820 / HB 3834); apply least-privilege access; and support technology audits and vendor data-privacy and security reviews.
  3. Respond to high-priority and critical incidents for supported systems, including working extended or off-hours and being called in as needed.

Documentation & Training

Outcome: the people who use the supported applications understand them, and the work is well-documented.

  1. Provide end-user training on supported applications and processes, and maintain documentation on application processes and procedures.

WORKING CONDITIONS:

Mental Demands: Maintain emotional control and exercise reasoning and problem-solving skills while under stress; communicate effectively, verbally and in writing; exhibit self-motivation and the persistence to set and meet objectives at high levels of quality and effectiveness.

Physical and Sensory Demands: Primarily sedentary work performed on-site at District facilities. Prolonged sitting and repetitive use of a computer keyboard, mouse, and multiple monitors; frequent near-vision work at a screen; and frequent communication by phone, video, and in person. Occasional standing, walking, bending, stooping, reaching, and moving about District facilities.

Lifting: Occasional lifting and carrying of equipment, supplies, or records up to 50 pounds.

Environment and Schedule: On-site position at District facilities; no remote or work-from-home arrangement. Occasional travel between District sites. Occasional prolonged or irregular hours, including availability to remotely troubleshoot and resolve problems during off-hours and to respond to high-priority or critical incidents.
