PRIMARY PURPOSE:
Position is responsible for providing direct clerical office support to the Director of Transportation. Position is responsible for supporting the daily functions of the Transportation front office and its staff. Position will ensure the clerical needs of the department director are met in an efficient and timely manner. Demonstrate support for district mission and goals.
QUALIFICATIONS:
Minimum Education/Certification:
- High School Diploma or GED
- Notary Public Commission or ability to obtain upon hire
Special Knowledge/Skills:
- Knowledge of school district policies, procedures, and personnel
- Excellent communication and interpersonal skills
- Proficient skills in typing, word processing, and file maintenance
- Knowledge of a variety of computer software (word processing, excel)
- Ability to operate computer/peripherals using a variety of basic applications
- Ability to effectively use district programs with reasonable assistance
- Excellent organizational skills
Minimum Experience:
At least three (3) years of successful office experience in a school district or office work setting; Experience working within a school district transportation department is preferred.
MAJOR RESPONSIBILITIES AND JOB DUTIES:
- Always ensure confidentiality of information
- Maintain knowledge and comply with all state and district policies, regulations, and expectations concerning primary job functions.
- Produces and maintains department calendars, schedules, agendas
- Set up and maintain secure files on all department employees in accordance with state, federal and district requirements.
- Schedules and prepare documentation for weekly job interviews for department vacancies.
- Communicates with department supervisors regarding upcoming interviews
- Assists with reference checks using approved department form
- Provide support to the Transportation Director with new employee orientation
- Ensures all records are kept up to date, have all of the necessary documentation, and are filed correctly.
- Schedule, coordinate and prepare for special events and meetings specific to the department.
- Complies information from various sources for records and reports
- Act as a liaison between the Transportation Department and schools throughout the district.
- Represent the district in a positive manner to parents, community members, and district personnel, vendors, and TEA/Region 10 contacts.
- Monitors Department supplies, orders and receives supplies when needed
- Assists Office Manager with office processes, responsibilities, and reports as assigned
- Updates and maintains the Transportation Employee Handbook
- Perform routine clerical duties such as receive incoming calls, take messages, greet visitors and maintain departmental files
- Provide backup support for others in the department to best serve our clientele and the district.
- Place and receive telephone and email communication and answer inquiries for the department.
- Notarize documents for school employees and maintain a notary log
- Perform other duties as assigned

Tools/Equipment Used: Standard office equipment including personal computer and peripherals; imaging equipment
Posture: Frequent walking, standing, bending/stooping, and reaching. Occasional pushing/pulling, and twisting
Motion: Repetitive hand motions including frequent keyboarding and use of mouse; occasional reaching
Lifting: Occasional light to moderate lifting and carrying (less than 44 pounds)
Environment: May work prolonged or irregular hours
Mental Demands: Work with frequent interruptions; maintain emotional control under stress
Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to the supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
