IRVING INDEPENDENT SCHOOL DISTRICT RISK MANAGEMENT SPECIALIST JOB DESCRIPTION JOB TITLE: Risk Management Specialist WAGE/HOUR STATUS: Nonexempt REPORTS TO: Director of Benefits, HRIS Operations, and Risk Management PAY GRADE: Para- 065 (230 days) DEPARTMENT: Risk Management FUNDING SOURCE: Local DATE REVISED: December 2024 A Letter of Assurance will be issued for this position. PRIMARY PURPOSE: To provide administrative support to the Department, including the Director of Benefits, HRIS Operations, and Risk Management, with secretarial and clerical duties related to various committees/meetings, minutes, correspondence, presentations, safety bulletins, hearings, human resource matters, meetings and other risk management items as directed by supervisor on a daily basis, having regard to tight timelines and often competing priorities. QUALIFICATIONS: Education/Certification: High School Diploma or GED required Some college or equivalent work experience preferred and/or office management preferred TASBO certification, or willingness to obtain within 2 years of entering the position Skills, Requirements & Qualifications: Handles sensitive/confidential information and/or data with a high degree of discretion Strong organizational, project management, and problem-solving skills Strong interpersonal skills to work effectively with colleagues, service providers, and the general public Strong verbal and written communication skills Thorough with the ability to demonstrate meticulous attention to detail Ability to prioritize and effectively organize a daily workload by priorities and meet deadlines in a fast-paced, quickly changing environment Positive, upbeat, self-motivate, and “can-do” attitude Works well and meets deadlines with minimum supervision Possess knowledge of Texas Department of Insurance – Division of Workers’ Compensation laws and rules Possess strong, professional verbal and non-verbal communication skills Demonstrated proficiency in the advanced features of generally used office software, including MS Windows (Word, Excel Advanced, Outlook, Adobe Pro, PowerPoint) Possess knowledge of basic medical terminology Bilingual English/Spanish speaking preferred (oral and written) Experience: Three (3) to five (5) years of administrative support and risk management experience, including workers’ compensation claims processing. Must have strong mathematical and analytical skills. MAJOR PERFORMANCE RESPONSIBILITIES AND DUTIES: Administrative/Document Preparation Assist with gathering documents from various district sources, such as attorneys, medical personnel, and others, to provide information to process Public Information Act Requests, subpoenas, etc. Perform various computer/word processing responsibilities, including correspondence, minutes of various committees, various presentation materials, publications, and booklets. Maintain and distribute electronic and paper databases for Risk Management Bulletins, Safety Notifications, and Liability Insurance. Maintain the filing system for the Risk Management Department, including maintaining workers' compensation and ADA files. Information Management/Claims Processing Assist with the preparation of documentation needed for unemployment hearings. Responsible for injury intake –coordinating treatment and claim submissions, follow through with documentation, and updating of information in Workers’ Compensation files in accordance with the Texas Workers’ Compensation Act. Receive and process ADA (Americans with Disabilities Act) accommodation requests. Must adhere to strict timelines. Maintain lifetime accommodations annually to ensure that the existing accommodations meet the needs of the employee. Advise district staff, medical providers, and TPA regarding Workers’ Compensation procedures. Assist with compliance relative to Workers’ Compensation and ADA (Americans with Disabilities) requests, ensuring documents are accurate and meet District policies and follow state and federal guidelines. Maintain IISD vehicle database for insurance purposes. Monitor lost time Workers’ Compensation claims for Payroll purposes and district leave accounting. Submit and monitor claims seeking medical care to TASB Initiate work orders for hazards reported through IISD safety reporting system. Assist with compiling accurate data for periodic, monthly, and annual Risk Management reports. Appropriately handle confidential matters/information discreetly and professionally. Coordination and Logistics Coordinate registration and travel arrangements for the department supervisor. Coordinate conference/meeting facilities and materials as required. Assist with the planning and execution of random drug screens. Assist with the investigation of accidents. Assist with the set up of employees and management of Vector LMS (online training platform). Receptionist/General Office Provides backup for the Administration Building receptionist (front and back door). These duties include assisting member board trustees and visitors when attending functions on-site. Cross-train and support another member of the Benefits and Risk Management Team to ensure the smooth operation of the department. Other related duties as assigned. EQUIPMENT USED: Computer, printer, copier, fax, scanner, telephone, calculator WORKING CONDITIONS: Mental Demands/Physical Demands/Environmental Factors: Must maintain emotional control and exercise reasoning and problem-solving skills while under stress. Must demonstrate ability to communicate effectively (verbal and written). Should be able to interpret procedures and analyze data for decision-making. Frequent in-district and occasional in-state travel. Occasional prolonged and irregular hours. Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to a supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
