JOB TITLE: Receptionist

WAGE/HOUR STATUS: Nonexempt

REPORTS TO:  Director of Special Education

PAY GRADE:  Paraprofessional 035 (230 days)    

DEPARTMENT:  Special Education

PRIMARY PURPOSE:  Under direct supervision, provide reception and clerical assistance for efficient operations.

 

QUALIFICATIONS:

 

Minimum Education/Certification: 

High school diploma or GED

 

 

Special Knowledge/Skills: 

  • Proficient keyboarding skills
  • Effective organization, communication, and interpersonal skills
  • Ability to follow written instructions
  • Ability to operate multi-line phone system
  • Ability to provide information and direction and handle difficult situations.

 

Minimum Experience

   One (1) year of clerical experience in an office setting

 

 

MAJOR RESPONSIBILITIES AND DUTIES: 

  1. Serve as public relations liaison in answering telephones, taking messages, returning telephone calls and receiving visitors.
  2. Provide a positive District image for all visitors and personnel requesting information or services.
  3. Provide information for general inquiries or applicant requests.
  4. Operate the telephone system to relay incoming and inter-offer telephone calls.
  5. Maintain an updated list of phone numbers for directing inquires.
  6. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  7. Contact appropriate department to announce visitors.
  8. Ensure all visitors screened through background check system and have proper identification (visitor’s badge).
  9. Provide notary services as needed.
  10. Collect documents and/or packages, as appropriate from FedEx, UPS, etc.
  11. Maintain confidentiality.
  12. Provide excellent customer service when difficult situations arise.
  13. Perform other job-related duties as assigned

WORKING CONDITIONS:

 

Mental Demands/Physical Demands/Environmental Factors:  

 

Long stationary periods without frequent breaks. Must maintain emotional control and exercise reasoning and problem-solving skills while under stress. Must demonstrate ability to communicate effectively (verbal and written). Should be able to interpret procedures and analyze data for decision-making. Frequent in-district and occasional in-state or national travel. Occasional prolonged and irregular hours.

 

Safety:  Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
